The location may be adjusted to the San Francisco Bay Area (Palo Alto) for the right candidate.

Position Overview:


The Operations Services & Facilities Manager is responsible for successfully supporting our clinic leadership in execution of programming and general operation of our clinic while partnering with clinic management and the Director of Construction on maintenance projects and improvement for existing clinics.

What You’ll Do:


-Support the VP of Operations and the clinic management teams in execution of programming and general operations of our clinics

Plan, manage and coordinate all activities related to inventory management of necessary materials and supplies needed to meet the changing levels of product and service demand for clinics. This may include but is not limited to helping: Order inventory of clinic supplies, scrubs, PPE, etc.; ensure supplies and materials are up to date and in good quality (towels, drape sheets, etc.); Perform and reconcile inventory cycle counts; Perform and reconcile various inventory and compliance related audits
Work in partnership with operations team to disseminate information and/or training to clinic managers and employees
Assist VP, Regional Managers and Clinic Managers with roll out of clinic programming
Support the VP and Regional Managers in special projects as related to driving operational efficiency


-Lead facilities maintenance and improvements for existing clinics in partnership with Clinic Management team

Create annual budget for maintenance of facilities, in partnership with Clinic Management
Create proactive plans for clinic maintenance to provide employees, clients and visitors with an orderly, clean, aesthetically pleasing and safe environment
Maintain a calendar of maintenance projects and tasks
Conduct clinic audits to ensure quality and safety standard are being met
Troubleshoot issues that arise
Coordinate repairs, facility improvements, and maintenance with third party contractors
Manage third party contractor relationships and budgets
Manage equipment service schedule and execution, including tracking warranty update

-Provide operational support in setting up new clinics as needed

Organize and arrange for ordering and organizing supplies and pod delivery within delivery time
Partner with the regional manager and clinic manager on clinic setup


-Manage relationships with existing and new vendors

-Assist with other duties as assigned


What You’ll Bring:


College education preferred
3+ years of experience in retail operations, facility management, project management or related field required; experience supporting multi-unit retail or service organizations strongly desired
2+ years of experience coordination and management with external service providers
Motivation toward continuous process improvement with an ability to be creative in streamlining process and flow of systems
Excellent communication and interpersonal skills; ability to collaborate across departments
Ability to multi-task, prioritize, and organize with a consistently high level of accuracy
Demonstrate a strong sense of urgency required to work in a fast-paced environment
Possess strong problem-solving skills
Experience with Microsoft Office (Excel, Word, Outlook) and ability to learn new technologies as needed


Physical Requirements: 

Prolonged periods of sitting at a desk and working on a computer
Frequently walk, stand, use hands and fingers, handle or feel, reach with hands and arms, climb or balance, stoop, knee, crouch or crawl, talk and hear
Ability to lift or maneuver up to 25 pounds and occasionally up to 50 pounds
Ability to travel to clinics across multiple states (estimated 20-30% of time)
